Contract Management Workflow for Enterprise Customers

2023The Challenge
The product is a workforce management platform used by companies to schedule shifts, manage leave, track time, and process payroll. While contract management for small and mid-sized businesses tends to be straightforward, enterprise customers operate at a much larger scale, involving multiple departments, complex workflows, and higher demands for data visibility.
At the time, the platform didn’t offer dedicated support for managing contracts across teams. This resulted in manual workarounds, limited transparency, and increased operational friction. The challenge was to design a scalable solution to support enterprise contract workflows – without rearchitecting the product or impacting smaller customers.
Problem Discovery
To better understand the contract-related workflows of enterprise customers, we conducted a series of interviews supported by a UX researcher. These conversations revealed consistent pain points:
- A lack of centralised visibility into contract statuses
- Reliance on manual communication between departments
The insights helped us validate the opportunity and shape the direction of the solution. Instead of a fully-fledged contract management module, we focused on improving visibility and enabling API-level access for advanced customers.
Design Sprint
We ran a focused cross-functional design sprint with product, design, and engineering to rapidly explore and prototype possible solutions. Together, we:
- Mapped existing workflows used by enterprise administrators
- Identified lightweight UI improvements to expose contract statuses in-platform
- Prioritised OpenAPI extensions to support integration with customers’ internal systems
The proposed solution included:
- UI enhancements to improve visibility of contract statuses across departments
- New OpenAPI endpoints to allow enterprise customers to access and manage contract data programmatically
Prototype testing
At the end of the sprint, we tested a functional prototype with enterprise users. Feedback confirmed that the updates addressed key workflow pain points and made the contract management process significantly more efficient. Only minor adjustments to wording and interaction design were needed before implementation.
Implementation
I documented the final designs and collaborated with the product manager to prioritize development. The UI enhancements were implemented quickly, and the new OpenAPI endpoints were delivered as part of a targeted update for enterprise customers.
Crucially, this solution was built in a way that did not affect the experience for smaller customers, ensuring we met enterprise needs without adding unnecessary complexity to the broader platform.
Key Outcomes
- Improved contract visibility for enterprise administrators
- External data access via new OpenAPI endpoints
- No disruption to existing workflows for smaller customers
- Low-effort, high-impact implementation
- Successfully delivered in 3 weeks, from discovery to handoff
- Strengthened trust and partnership with enterprise customer stakeholders
